Facility Booking
Sell the hours your courts are standing empty.
Most academy facilities sit idle for a good part of the week, and the reason is rarely demand — it is that taking a booking means somebody answering a phone, checking a wall planner and hoping the under-14s are not on that court. This module puts the wall planner online and keeps it honest: the times it offers are the times that are genuinely free.
Built for
- Academies with courts, pools or grounds that are empty outside training hours
- Universities opening facilities to students and the surrounding public
- Anyone currently taking bookings by phone and writing them in a diary
Availability you can trust
A slot is offered only when nothing else is using the facility. Not just other bookings — training sessions, competition fixtures and maintenance closures all remove time from the page, because selling a court that a squad is already training on is the mistake an academy hears about for months.
- Opening hours per facility, including midday breaks
- Training sessions and per-session facility overrides
- Competition fixtures scheduled at that facility
- Maintenance closures, blocked out in a few clicks
One account per person
Members of the public register once and manage their own bookings. Somebody who already trains at your academy signs in with the account they already have — they do not end up with a second login, and you do not end up with two records of the same person.
- Email, mobile number and password, set by the customer
- A booking area separate from your staff dashboard
- Existing athletes and parents reuse their Sportia sign-in
- A Facility Users list so you can see who has registered
Rules that hold without you watching
Each facility carries its own terms, and the page enforces them so nobody has to. Minimum and maximum booking length, how far ahead people may book, how much notice you need, and how late a booking can be cancelled free of charge.
- Optional review before a request becomes a confirmed booking
- A cap on how many upcoming bookings one person may hold
- A cancellation limit, so serial cancellers have to call you
- Slot lengths and prices set per facility
The counter still works
Not every booking arrives online. Staff take phone bookings without being held to the public notice period, record payment taken at the venue, mark no-shows, and see at a glance who is owed a refund after a cancellation.
- Book on a customer behalf, confirmed immediately
- Requests, refunds due and closures each on their own tab
- Search by name, phone number or booking reference
- Every action recorded in your audit log
Common questions
Can customers pay online?
Yes, through your own Razorpay account, if you have configured it under Settings > Payment Gateway. The money settles to you directly. If you have not configured a gateway, bookings are reserved online and collected at the venue instead.
What stops two people booking the same slot while one is paying?
The slot is held for twelve minutes while a customer pays, so nobody else can take it. If they do not finish, the slot is released — but only after checking with your Razorpay account that they did not in fact pay.
What happens to a refund when a paid booking is cancelled?
The booking moves to a Refunds due list for your staff. Sportia never holds the money — your academy does — so the refund is made by you and recorded here to take it off the list.
Do people booking a court count towards my athlete limit?
No. Booking customers are ordinary user accounts with a Facility User role, and plan limits count athletes, staff, batches, locations and facilities — never booking customers.
Is there anything my plan needs first?
Yes — Facility Booking is available on plans that include Online Payments, which starts at Growth.
