Competition & Event Management

Run a tournament end to end, from entries to the results board.

Most competitions are run on a spreadsheet and a printed sheet on a wall, which is why entries get lost, heats get seeded by hand and the results board is out of date before it is pinned up. This module runs the whole event: take entries, generate the draw, record results as they happen, and publish standings that update themselves.

Built for

  • Universities running inter-college meets with visiting institutions
  • Academies holding internal tournaments across several sports
  • Anyone organising an event where results have to be published and defended

One system for every sport

A football league, a tennis knockout and a swimming meet are not three different products here. Each event you run declares its own format and how it is scored, and everything else follows from that: a league gets a points table, a knockout gets a bracket, a meet gets heats and a final.

  • League, knockout, groups-then-knockout, meets and one-off contests
  • Scored on head-to-head results, measured marks or judged placings
  • Times rank fastest first and distances longest first, automatically
  • One competition can mix several sports and dozens of events

Entries from outside, not just from your own roster

An inter-college meet is mostly people you have no records for, and a system that insists every competitor is one of your athletes cannot run one. Visiting individuals and teams enter under their institution, which is recorded once and reused, so results stay attributable year after year.

  • Your athletes and squads enter directly from your existing records
  • Visiting competitors need nothing more than a name and an institution
  • Bib numbers, seedings and entry times captured at registration
  • Category limits, duplicate entries and closed registration all enforced

Draws and heats done properly

Seeding is where a draw is won or lost. Brackets place the strongest entrants so they can only meet at the end, with byes going to the top seeds. Meets are circle seeded from entry times, spreading the fastest across the closing heats so no single heat decides the event, with lanes assigned from the centre outwards as they are at any championship.

  • Round-robin, seeded brackets and circle-seeded heats
  • Qualification by places per heat plus the fastest losers
  • Fixtures scheduled individually or a whole round at a time
  • Double-booked facilities refused, naming what already has the slot

Results that cannot contradict themselves

Enter the score and the outcome follows from it, so a table can never disagree with the fixtures beneath it. Standings are worked out from the results every time they are shown rather than stored, which means correcting a score corrects everything downstream at once.

  • Points tables with configurable tie-breakers, including head-to-head
  • Walkovers, did-not-starts and disqualifications recorded properly
  • Knockout winners advance themselves through the bracket
  • Dead heats published as joint positions, as they should be

A board anyone can follow, and reports you can file

Spectators, parents and visiting coaches get a public results board that needs no login and refreshes itself while they watch. Afterwards, the event, participation and performance reports come out of the same numbers, so what you file matches what was published.

  • Public board at your own address, on a custom domain if you have one
  • Entrants notified when their results go live
  • Medal table and podiums by institution
  • Participation, officials and results exported to CSV

Officials and volunteers tracked

Referees, judges, timekeepers and student volunteers are assigned to the competition and checked in on the day, so volunteer hours can be evidenced rather than estimated.

  • Staff, student volunteers and guest officials all assignable
  • Check-in recorded for attendance reporting
  • A competitor cannot be assigned to officiate their own contest

Common questions

Can people who are not our athletes take part?

Yes, and that is the point. Visiting individuals and teams enter under their institution and need no record in your academy. Only your own athletes and squads are linked to existing profiles.

Does it handle athletics and swimming, or only team sports?

Both. Meets are a first-class format with heats, lanes and finals, seeded from entry times, and ranked on measured results rather than scores.

Who can see the results board?

Anyone with the link, once you publish it. Nothing is public until you turn publishing on, and the board carries only what a printed results sheet would: names, institutions and results.

What happens if we record a result wrongly?

Correct it and everything downstream corrects with it. Standings are recalculated rather than stored, and a knockout re-advances the right competitor.
